Every piece of information can be linked by means of relation. This not only preserves, but also clarifies the collected knowledge within a business.
An innovative concept
With their document management system InfoPro 2i, MaCom has been breaking new ground when it comes to data generation and filing.
The fundamental idea is to use references and links; these are known as 'Relations' within InfoPro. Every piece of information can be interrelated: authors to their respective documents, employees to businesses, emails to their authors, recipients, and projects, just to name some of the possibilities.
Effective document management
This idea of informational relation makes InfoPro 2i a powerful and effective tool for document handling and knowledge sharing.
Any document will always be accessible from every piece of information that it has been related to.
In effect, this makes it possible to find a document via associating to related information. A user can click his way through a hyperlink to a letter written by the author of a given document, to the organization it has been sent to, and to the project the letter is concerned with.
Making connections visible
When different types of information can be related to each other, connections that are otherwise hidden will appear. These could be between organizations, individuals, folders, documents, emails, and/or notes, for instance.
The illustration on this page shows an example of how these relations could be structured:
An organization is related to an individual, because he/she is part of its staff. This individual is the author of a document, and is therefore related to that. The document is in turn related to a folder, which in this case is a project folder, seeing that the document is part of a project. The document is also related to an email, because it has been emailed as an attached file.
